Inquiries, ACE & proposals
ACE, the EXPO ACES Digital Event Assistant, may help collect event requirements, answer general questions and organize information for the EXPO ACES team. Information provided through ACE or other website inquiry channels is used to facilitate communication and planning. A conversation with ACE, an inquiry submission or an initial estimate does not confirm a booking or create a service contract.
Booking & confirmation
Event dates, production schedules, manpower, equipment, product quantities and service inclusions remain subject to availability and written confirmation. A project is considered confirmed only when the requirements stated in the approved quotation, proposal or contract have been completed, including any required confirmation payment.
Pricing & third-party costs
Pricing depends on the agreed scope, event date, venue, duration, manpower, equipment, quantities, custom specifications, production requirements and logistics. Taxes, permits, venue fees, corkage, parking, freight, accommodation or other third-party charges may be excluded unless expressly included in writing.
Changes, postponement & cancellation
Changes to the date, venue, program, scope, quantities or specifications may affect pricing, availability and production lead times. Postponement, cancellation, refunds and the treatment of confirmation payments or deposits are governed by the applicable approved quotation or contract.
Deliverables & turnaround
Deliverables and turnaround periods vary by project. Photo, video, print, yearbook and custom-product timelines begin from the applicable trigger stated in the proposal, such as event completion, final image selection, final layout approval or receipt of complete materials. Client approval delays, incomplete materials, requested revisions or third-party dependencies may affect delivery schedules.
Creative & production approvals
Stage designs, layouts, printed products, yearbooks, branding applications, floral concepts, recognition pieces and other custom outputs may require client approval before production. Once specifications or proofs are approved, they become the basis for production. Subsequent changes may result in additional cost, revised timelines or may no longer be feasible.
Intellectual property
Client-provided trademarks, logos, photographs, copy and other protected materials remain the property of their respective owners. Unless otherwise agreed in writing, EXPO retains rights to its original creative concepts, layouts, production methods and materials, subject to the rights and permissions applicable to each project.
Portfolio & promotional use
Project imagery or event materials may be used in EXPO ACES portfolios or promotional materials only where permitted by the applicable agreement, institution policy, consent requirements and relevant privacy obligations. Institutions may communicate specific restrictions as part of project coordination.
